AI Snip & Templates

Choose a template, edit the fields (by hand or with AI), and run - AI Snip extracts the same fields in bulk across recurring document formats, and your templates save automatically.

AI Snip extracts a custom set of fields you define, rather than a single boxed value. It’s built for recurring document formats - invoices from the same supplier, statements from the same bank - where you want the same fields pulled every time without redrawing boxes.

Open Extract → AI Snip and work through three steps: Choose, Edit fields, and Confirm. Your template saves automatically as you go, so there’s no save button to remember.

Step 1: Choose a starting point

AI Snip always opens on Choose a starting point. Pick one of:

  • Load last template - pick up the template you used last, exactly as you left it.
  • Empty template - start from scratch, building fields by hand or describing what you need and letting AI build them.
  • Sheetminer templates - built-in templates for common document types:
    • Invoice - supplier name and tax ID, invoice number, invoice and due dates, PO number, currency, net, tax and total amounts, plus a Line items list (description, quantity, unit price, tax rate, line total).
    • Bank statement - bank name, account holder, account number, statement period, currency, opening and closing balances, total credits and debits, plus a Transactions list (date, description, reference, debit, credit, balance).
    • Purchase order - PO number and date, buyer and supplier names, delivery date, payment terms, currency, subtotal, tax and total amounts, plus a Line items list (item code, description, quantity, unit price, line total).
  • My templates - every template you’ve worked on, with its field count. Templates you edit are saved here automatically. To remove one, click its delete icon and confirm.

Built-in templates are never changed. When you pick one, Sheetminer creates your own copy (for example, “Invoice (copy)”), and any edits you make save to that copy.

Step 2: Edit fields

The Template bar at the top shows which template you’re editing. Click the name to rename it, or click Change to go back to step 1. Next to it, a status shows Saving…, Saved, or Not saved yet (shown until every field has a name and description).

Generate fields with AI

Describe the data you want in the Describe what you need box and click Generate. For example:

From each invoice I need the supplier, invoice number, date, VAT and total, plus every line item with description, quantity, unit price and line total.

Sheetminer turns the description into fields, with names, descriptions, types and any List fields for repeating rows.

If you’re not sure what to ask for, click Suggest fields instead. Sheetminer reads the open document and proposes the fields it contains - no description needed. The open document must already be processed.

  • Your existing fields are kept. Generated fields are added alongside the ones you already have, and a field with the same name as an existing one is skipped. Choose Replace all my fields with these instead to start over with the generated set.
  • It’s free. Generating or suggesting fields doesn’t use credits. Only running the extraction does (see Credits & Usage).

If generation doesn’t return anything useful, make the description more specific, or ask for fewer fields at once.

Editing by hand

Use + Add field to add a field, the remove icon to delete one, and Move up / Move down to reorder them. Every field has:

  • Field - a short name (for example, Invoice Number, Total, Date).
  • What should it contain? - a plain-language description of what to look for (for example, “The invoice or order number, usually near the top of the page”). This description is what Sheetminer’s model uses to locate the value, so the more specific it is, the more reliable the match.
  • Type - Text, Number, Date, Currency, Yes / No, or List.

List fields

Use a List field when a document has repeating rows you want extracted together - for example, every transaction in a bank statement, or every line item on an invoice. A List field has its own sub-properties (its list item properties), each with the same Field / description / Type structure as a top-level field. Running extraction against a List field returns one row per repeated item, with a column for each property you defined - so a Transactions list with Date, Description, Deposit, and Withdrawal properties returns a full transaction table in one pass.

When the fields look right, click Next: Confirm.

Step 3: Confirm and run

The Confirm step shows the Fields to extract and how many open documents the run will cover (documents that aren’t processed yet are skipped). Click Run extraction. The template is saved before every run.

Sheetminer shows the results under Extracted values, grouped by document (and by row, for List fields), with the matched source highlighted in the document preview so you can sanity-check each value before it lands in the sheet. Click Preview table to see the results laid out as they’ll appear in the sheet, then Insert into Sheet. To adjust the fields and run again, click ← Edit fields.

Autosave

Your template saves automatically after every change - adding, removing, renaming, retyping or reordering a field - and before every extraction run. Changes survive a page reload or a new session, and the template is waiting under Load last template the next time you open AI Snip.

As with every extraction type, each inserted value keeps its link back to the exact spot it was matched from - open Inspect on any cell to see it.
